Job title: Club Secretary (Voluntary)
Accountable to: Club Committee
Additional requirements: DBS Check through TMBSC
Responsible for: Various tasks as identified below.
Skills required: Leadership, management, presentation, diplomacy, administration, organisation and communication. Friendly, approachable, supportive and enthusiastic.
Time commitment: Minimum 2 hours per week + attendance at meetings.
Main Duties:
- To act as a main point of contact for the club and to deal with issues as and when they arise together with the Chairman.
- Ensuring the correct and smooth running of all aspects of the club in accordance with its Rules, Constitution and By-Laws and also Swim England Law and UK Law.
- To have a good knowledge and understanding of the roles and responsibilities of committee members and the Head Coach and ensuring that they understand and fulfil them.
- Organising committee meetings and AGM’s, preparing agendas, taking minutes and distributing and communicating these as appropriate.
- In conjunction with the Chairman and Club Treasurer, ensuring club membership is kept up to date at the AGM and ensuring all matters that need to be, are put to a vote.
- Completing and submitting the annual online Swim Mark Accreditation module requirements and ensuring the Club achieves and maintains the standards required for it.
- Ensuring Self Employed contracts are provided to and signed by coaches and officers receiving payment.
- Conducting Personal development Reviews for the Head Coach, Coaches and Committee Members together with the Chairman or Treasurer as appropriate.
- Following and promoting the Club’s Codes of Conduct.
- Following and promoting the SE Safeguarding Policy and Code of Ethics.
- Following and promoting the SE Photo Policy.
- Attending at least one Personal Development Review every year with either the Chairman or Treasurer.
